Who we are

We are the Pickering Squash Club. We are located at the Chestnut Hill Developments Recreation Complex, 1867 Valley Farm Rd, Pickering, ON L1V 3Y7.

Forms

By default Forminator captures the IP Address for each submission to a Form. Other personal data such as your name and email address may also be captured, depending on the Form Fields.

By default we retain form submissions indefinitely. All collected data might be shown publicly and we send it to our workers or contractors to perform necessary actions based on the form submission.

We also collect information using Google forms.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

This website uses the Privacy Suite for WordPress by Complianz to collect and record Browser and Device-based Consent. For this functionality, your IP address is anonymized and stored in our database. This service does not process any personally identifiable information and does not share any data with the service provider. For more information, see the Complianz Privacy Statement.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

WhatsApp Community Group

The Pickering Squash Club WhatsApp Community uses the WhatsApp Community group a simple, fast-moving digital bulletin board.  We use this group to keep you in the loop about leagues, clinics, social activities, tournaments, special events and other squash and squash club related information. Your phone number will only be visible to the admins and anyone you have saved in your contacts.  The group admins will not share your information.  The “Announcements” chat will never have responses turned on so you will get all the info you need without the chat.  You may choose to leave the group at any time.

Email

When you agree to share your email with us, we use your email to inform you about leagues, clinics, social activities, tournaments, special events and other squash and squash club related information.

Who we share your data with

If you request a password reset, your IP address will be included in the reset email on the website. Your email and phone number may be shared with the executive committee who run the Pickering Squash Club in order to contact you about Pickering Squash Club related information or enquiries. If you join a house league, you email may be shared with the coordinator running the house league. In addition, we may make inquiries with the Chestnut Hill Developments Recreation Complex membership staff to confirm your squash membership with them is valid before confirming your Pickering Squash Membership as you need to have a membership with the Chestnut Hill Developments Recreation Complex in order to have Pickering Squash membership (see our membership page for more info).

Some of our tournaments are run in association with Squash Ontario. Registration data and athlete information is collected through Club Locker as Squash Ontario’s Membership database and tournament software. This includes Name, Email, Date of Birth, Gender, Address and Phone Number. Please see Club Locker’s Privacy Policy here. This information is retained indefinitely or until the event that Squash Ontario transitions to a new software.

If you are on the Executive Committee, or you are a Chris Doona award winner your name may be published on our website indefinitely. When you join the Pickering Squash club, you agree that your name and photo may be included around the club, on social media and or on our website. Once published we are able to remove it from our website, but this does not necessarily remove your information from other areas on the internet.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

The Pickering Squash Club will retain your name, email and phone number for as long as you are a member and up to two years after. You may request at any time to have your information removed from our databases.

If you have subscribed to our newsletter, we retain your information until you unsubscribe. You can unsubscribe from any of our communications through our contact form or by contacting the executive committee directly.

Registration data and athlete information is collected through Club Locker as Squash Ontario’s Membership database and tournament software. This information is retained indefinitely or until the event that Squash Ontario transitions to a new software. Please see Club Locker’s Privacy Policy here.

Those who you have personally chosen to share your email with personally may keep your information for longer and are not bound by this agreement or privacy policy.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where your data is sent

Visitor comments may be checked through an automated spam detection service. Your name and information may be shared with the staff of the Chestnut Hill Developments Recreation Complex to confirm membership status. Your information may be shared with any third party platforms we use to communicate to you through who are also bound by their own privacy policies. When you sign up for a tournament run by the Pickering Squash Club, we may use Club Locker to faciliate the tournamenet. The data you share with Club Locker is governed by Club Lockers Privacy Policy.
